Importing POPLINE® Records Into Other Bibliographic Software
After performing a POPLINE search, you can import records into other bibliographic software by selecting the "FullRec-ShortLabels" display from the drop down menu in the upper left corner of your screen. Then highlight, copy and paste selected records into an editing program. Import to bibliographic software such as EndNote or Procite.
To import POPLINE records to your bibliographic software, you will need to create a filter. Filters can be designed for any database that can generate a structured text file with identifying tags or labels. POPLINE does not have a Publication Type field, therefore a "generic" filter to accommodate all record types is necessary. A sample is provided below.
The following steps can be used to facilitate the process:
Part 1: Extracting data from POPLINE on the Web
- Use Microsoft Internet Explorer to search POPLINE on the Web. Although you can use Netscape, we suggest using Internet Explorer to search the web-based POPLINE database for this task. Netscape inserts extra spaces (white space) in front of the field tags, so the records need to be "cleaned" before importing them. You can avoid these steps by using Internet Explorer.
- After completing your POPLINE search, select the "Checkbox Display" from the drop down menu in the upper left corner of your screen.
- Check the records you want to import and click the "Submit" button.
- If you want to import all the records from your search, select "FullRec-ShortLabels" from the menu to display the records in the correct format.
- Copy and paste the records into Notepad. Netscape users should paste to MS Word so that records can be "cleaned up" later.
- Since POPLINE only displays 100 records at a time, if your search returns more than 100 records, you will have to click on the "Next 100 records" button. Once they display, copy and paste them into your Notepad document. Repeat as needed.
- When you have copied all of the records into Notepad, save the file and close it.
Part 2: Netscape Users--Deleting "White Space" Before Field Tags
- When you have copied all of the records into MS Word, you will notice that there are extra spaces in front of the field tags. You will have to delete the spaces that appear in front of each tag. To do this throughout the entire document in one shot, click on Edit > Select All to highlight all of the text.
- Click on Edit > Replace to open the Find and Replace dialogue box. Click on the "More" button to show the additional features.
- Place the cursor in the "Find what" space. Click on the "Special" button located at the bottom right and select "Paragraph Mark." A ^p will appear in the find space. Then press the space bar to insert the number of spaces that appear before the field tag. For example, if there are six spaces, then press the space bar six times. The field should now appear as <^p >.
- Next, place the cursor in the "Replace what" space. Click on the <Special> button and select "Paragraph Mark." DO NOT press the space bar or any other key. The field should appear as <^p>.
- Click on "Replace All" and close the dialogue box once it is completed. There should no longer be any spaces preceding each field tag.
- Click on Edit > Select All to highlight the text. Click on Edit > Cut
- Open Notepad.
- Click on Edit > Paste to paste the records into Notepad.
- Save this File and close it.
